You'll be the welcoming voice families hear when they're seeking Applied Behavior Analysis services for their child. This role sits at the heart of client onboarding—you'll guide people through intake, verify their insurance, collect vital documentation, and coordinate across clinical, billing, and scheduling teams to ensure every new client launches smoothly.

✨ About the role

You'll work remotely for our client, a U.S.-based ABA services provider, during U.S. Eastern Time Zone business hours. This is a permanent, full-time intake coordinator position.

🎯 What you'll do

  • Answer inquiries from families, referral sources, and healthcare providers—explaining ABA services, eligibility, and timelines in clear, compassionate language
  • Conduct initial intake calls, collecting client, guardian, medical, insurance, and referral information
  • Gather and review required documents: diagnostic evaluations, insurance cards, physician referrals, consent forms
  • Verify insurance eligibility and benefits; navigate authorization documentation with providers
  • Track referrals, outstanding documents, waitlists, and admission status in EHR and CRM systems
  • Maintain regular contact with families, keeping them informed throughout the intake process
  • Coordinate handoffs with clinical scheduling, billing, credentialing, and authorization teams
  • Flag intake barriers or delays and escalate appropriately
  • Support referral source relationships and assist with admission-related reports and audits
  • Handle all confidential information with HIPAA compliance

🧠 What you'll bring

  • At least one year of experience in healthcare intake, medical administration, insurance verification, behavioral health, or customer service
  • An associate's or bachelor's degree in healthcare administration, psychology, social services, business, or related field (preferred)
  • Strong written and spoken English; clear telephone communication skills
  • Proficiency with electronic records, Microsoft Office, Google Workspace, and similar systems
  • Excellent organization, follow-through, and attention to detail—you juggle multiple cases without dropping threads
  • Compassion and sensitivity when working with families navigating autism services
  • Ability to handle sensitive information professionally and maintain confidentiality
  • Reliable internet and a professional remote workspace
  • Experience with ABA services, autism services, insurance authorizations, or healthcare billing is a plus
